Good to know as a PhD student within IDA!

As a PhD student with a PhD position you are both a student AND an employee - meaning you have two roles in your work. This means you have to attend to and take part in both student related issues as well as employee issues - and events.

Admission - first thing to do!

When you have been appointed a PhD position at IDA, the first step is to enroll into the PhD studies. To do this, you fill out the admission form and hand in to Anne Moe. She will then set up an information meeting with you individually or together with other new PhD students at the department.

First month

  • To get an overview over practical issues within your employment, please go through the page Welcome to IDA! If you have questions regarding practical, daily issues within your work, you can always turn to your lab administrator. If you have questions related specifically to your graduate studies, please turn to the coordinator of Graduate Studies Administration - Anne Moe.

  • You will be summoned to a start-up meeting together with other new PhD students at IDA - or an individual meeting if only a few admitted. At this meeting you will get information regarding PhD administrative issues, a research related overview as well as library resources.

  • Mentorship - when arriving at IDA you will also be assigned a mentor amongst the senior PhD students.

  • If you are coming from abroad, this page is of good use: "Guests from abroad" (information regarding insurance, sick leave, swedish courses, employment terms and conditions etc)

  • You will get an account as a PhD student in the IDA gradsite portal as soon as your admission is official. On your pages in the portal you will find a continued follow up of your progress, points and other registrations within your PhD studies.

    In the IDA gradsite portal you will also find the Document page with all kinds of links useful to a PhD student within IDA.

  • You are admitted to a specific graduate studies subject within a faculty (for IDA: Institute of Technology (Design or Computer Science) or Faculty of Arts and Sciences (Statistics or Cognitive Science) and that subject is described in the respective syllabus. The syllabus for your subject is to be found on the Documents page in the portal.

  • Individual Study Plan (ISP) is to be planned together with your main supervisor. You may find and download the template in IDA gradsite portal on the Documents page (Forms and templates). The ISP is due within a month from your admission date and is to be handed in to Anne Moe in original, as well as uploaded into the gradsite portal.

  • PhD Courses - you decide together with your main supervisor what courses to apply for and some courses are mandatory to all PhD students. You may find and register for all IDA courses within the gradsite portal. Courses offered outside IDA have different ways of application, information will be stated on the respective course page. There are also mandatory courses for all PhD students (pedagogical course for all teaching PhD students) and some faculty courses (to be found on the Documents page).

    For other PhD courses outside IDA you need to look around on web pages. You can also discuss with your main supervisor and your PhD fellows and the solution can sometimes be a reading course for a narrow area etc.

Teaching:

Most PhD students have up to 20% teaching within their employment. This is to be coordinated by the director of studies within each division - together with main supervisor and the student.

Each fall you should have a meeting with your director of studies, to get information regarding your part of the teaching for the coming year. You will get a reminder for these meetings.

When performing teaching tasks you will surely get in contact with the administrators of the undergraduate studies including master studies.

Twice a year - end of each semester:

Follow up of your PhD studies:

  • Spring - web registration: In May you will get an e-mail from Anne with instructions on how to perform the registration. This is a check-up that the correct amount of teaching hours are registered for you, as well as any sick-leave, parental leave etc. No paperwork involved - only web registration.

  • Fall - paper registration: In November you will get an e-mail from Anne with instructions on how to perform the registration. This is a follow up of the fall period - as well as a follow up of the whole year. During this registration you should have a physical meeting with your supervisors and also revise your study plan (ISP) for next year. A signed registration form together with the signed ISP including appendix (examination goals) should be handed in to Anne within deadline (usually shortly before Christmas leave).
